Human Resource Assistant

Overview

To provide superior customer service by offering professional Human Resource assistance. Responsible for assisting the Human Resource Practitioner for the complete human resources function within the company. This includes clerical and administrative support, compile, and update employee’s records. Process documentation and assist with personnel activities (staffing, recruitment, training and development, industrial relations issues as required, staff counseling, career path planning and poor performance evaluations etc.) Coordinate HR projects (meetings, training, etc.). Dealing with employee requests regarding HR issues, and implementation of HR policies and procedures. Assist in payroll preparation by providing relevant data (files, absences, leave etc.). To be an administrative support to Nampharm’s third parties etc., Pension Fund, Medical Aid, NTA, Social Security and Staff Hiring Companies. Ensure accurate filing of all pertinent records and correspondence.

Essential Duties and Responsibilities

These include the following (other duties may be assigned by the Human Resources Practitioner)
  • Nurture a positive working environment and maintain relationships throughout departments by establishing the Nampharm culture and leadership principles.
  • Assist with arranging and maintaining leadership programs.
  • Ensure all employees understand their responsibilities to maintain productivity and efficiency in all departments.
  • Ensure legal compliance throughout human resource management.
  • Assist with developing and implementing HR strategies and initiatives aligned with the overall business strategy.
  • Assist with the Management of Industrial Relations by ensuring that firm, fair and consistent labour practice, and procedures are implemented to encourage positive employee relations and prevent conflict from arising.
  • Assist with the management of recruitment, and all relevant recruitment procedures and policies.
  • Assist with identifying staff with potential for advancement, in consultation with the line manager/HOD.
  • Responsible for and to ensure a high standard of HR administration including adherence to all legal and policy requirements and exercises security awareness, accuracy, and confidentiality always.
  • Responsible for Payroll preparation.
  • Monitors and follows up on the Learning and Development progress and completion of training plans.
  • Formulate, implement, and govern Human Resources Policies and Procedures, and make sure it’s implemented, utilized and all staff trained accordingly.
  • Assist Warehouse Management with basic operational functions as required.
  • Assist with and investigate incidents based on the approved QMS and CAPA procedures, with the necessary action taken to improve and resolve the issues on hand.
  • Assist, guide and action Disciplinary Action based on deviation reports by Warehouse Managers (Primary IR, Secondary HR).
  • Assist with the development and initiation of staff welfare programs to maintain the Nampharm Culture (Primary HR, Secondary IR).
  • Implement, manage, and maintain Leadership Principles (Primary HR, Secondary IR).
  • Assist in maintaining relevant QMS procedures and programs.
  • Warehouse inspections as/when required.

Qualifications & Skills

  • Relevant degree or equivalent tertiary qualification
  • A Minimum of 3 years’ experience
  • Specialized knowledge of appropriate legislation
  • Computer skills in Microsoft Office Applications
  • Financial, analytical, interpersonal, decision making and negotiating acumen required.
  • Ability to interact with people from all levels both internally and externally.
  • Code BE Driver’s License
  • Written & Oral ability in English (Proficiency in an indigenous language will be an added advantage)
